Timeline


Below is the timeline for a faculty-led study program proposal. Some of the items on the list must be strictly followed, while others will depend on the faculty member’s resourcefulness and how well they are able to complete research independently on the proposed site:

15 to 18 months before proposed program date
Faculty must meet with the Faculty-Led Programs Coordinator, Joy Killgore and the Director of Study Abroad Programs, Kathy Poole to discuss the logistics of the proposal
15-18 months before proposed program date
Faculty will need to develop and submit a pre-proposal for proposed site. The pre-proposal must contain justifications for developing the program. Faculty will need to visit site, if haven’t already.
15 months ahead
Obtain initial approval from department chair and dean. Submit signed pre-proposal to the Faculty-Led Programs Coordinator
14 months ahead
If approved, faculty should also schedule a meeting with the Study Abroad Programs accountant or accounting technician to create a budget.
11-12 months ahead
Submit draft of proposal for review by the Faculty-Led Programs Coordinator. Faculty can download the form and instructions from the link below
9 to 10 months ahead
After review by parties above, Coordinator submits the final draft to Study Abroad Programs staff and will schedule appointment for program proposal review. (Fall deadline is Nov. 15). Faculty will be contacted of the date to present proposal to the Foreign Study Programs Committee meeting.
New programs are approved on an experimental basis for one year. If your program is approved, it will be reviewed by the Foreign Study Programs Committee, one year after its first cycle. The FSPC will then determine if the program can be removed from experimental status

Attend faculty workshop in January
9 months ahead
Meet with accountant to finalize budget and contracts
9 months ahead

Submit required text description of program to coordinator.  Develop brochure. Brochure should be ready for November study abroad fair

8 to 3 months ahead
Faculty member should actively recruit for program.
3 to 5 months ahead
Develop and provide pre-departure orientation. Provide students with required secondary paperwork
3 months ahead
Students must submit all paperwork and complete all pre-departure requirements.
2 months ahead
Faculty conducts site specific orientation. Students should complete Study Abroad Programs general orientations.
1 month ahead
Meet with Study Abroad Program accountant for final instructions for program, budget and travel advance
Program Start
Conduct on-site orientation
At program's end
Conduct student evaluation of site and return to Study Abroad Programs via student leader
1 month after program ends
Complete program director report and return to Faculty-Led Programs Coordinator
1 to 2 months after program ends
Meet with Study Abroad Programs accountant or accounting technician to reconcile receipts
1 to 2 months after program ends
Begin planning for the next cycle (which may include preparing for FSPC review)
